As we continue to grow, we are seeking an experienced, motivated, and forward-thinking Practice Manager to lead our administrative operations and help build one of Manitoba's leading community medical clinics. Position Summary The Practice Manager is responsible for the overall administrative and operational management of Rehoboth Clinic. This individual will provide leadership to the Medical Office Assistant (MOA) team, reception staff, and administrative personnel while supporting physicians and allied healthcare professionals in delivering outstanding patient care. The successful candidate will oversee daily clinic operations, staffing, budgeting, scheduling, quality improvement initiatives, patient experience, physician support, and regulatory compliance. The Practice Manager will work closely with the Clinic Directors and Medical Director to ensure efficient, patient-focused, and financially sustainable operations. Key Responsibilities Clinic Operations Oversee the day-to-day operations of the clinic to ensure smooth, efficient, and patient-centred service delivery. Ensure courteous, respectful, and efficient patient care through effective administrative support. Maintain high standards for clinic workflows, patient privacy, and operational efficiency. Monitor clinic performance and recommend improvements to increase productivity and patient satisfaction. Coordinate daily clinic activities to maximize physician productivity and optimize patient flow. Leadership & Staff Management Lead, mentor, supervise, and support the Medical Office Assistant (MOA) team and administrative staff. Foster a positive, respectful, and collaborative workplace culture. Recruit, interview, onboard, and orient new staff. Conduct regular staff evaluations, coaching sessions, and performance reviews. Develop staff schedules to ensure appropriate clinic coverage. Manage vacation requests, sick leave, and staffing adjustments. Organize regular staff meetings and training sessions. Physician Support Serve as the primary administrative contact for physicians. Coordinate physician schedules and clinic templates. Assist physicians with administrative workflows and operational concerns. Ensure timely completion of physician requests and administrative tasks. Support physician onboarding, LibreMD EMR setup, and credentialing where applicable. Financial & Administrative Management Assist in developing and managing the clinic budget. Monitor operational expenses and identify cost-saving opportunities. Review clinic revenue reports and key performance indicators. Oversee billing processes to ensure timely and accurate physician billing. Review insurance documentation and administrative reporting. Approve clinic purchases within authorized spending limits. Coordinate invoice approvals and vendor payments. Patient Experience & Quality Improvement Act as the first point of contact for patient concerns and complaints. Implement strategies to improve patient satisfaction. Monitor appointment scheduling and confirmation processes. Review patient wait times and clinic efficiency. Ensure continuous quality improvement initiatives are implemented. Inventory & Facility Management Oversee procurement of medical and office supplies. Maintain appropriate inventory levels. Coordinate servicing and maintenance of clinic equipment. Liaise with external vendors and service providers. Ensure the clinic environment remains safe, clean, and professional. EMR & Technology Management Serve as the clinic administrator for the LibreMD Electronic Medical Record (EMR) system. Create and manage user accounts for physicians and staff. Maintain appointment templates, schedules, forms, and clinic workflows within LibreMD. Assist with LibreMD optimization, system administration, and staff training. Support implementation of new digital healthcare technologies and workflow improvements. Compliance & Risk Management Ensure compliance with provincial healthcare regulations and clinic policies. Develop and maintain clinic policies and standard operating procedures. Coordinate incident reporting and follow-up. Ensure confidentiality and compliance with privacy legislation. Monitor completion of mandatory staff training and certifications. Other Responsibilities Assist with strategic planning and clinic growth initiatives. Prepare operational and financial reports for clinic leadership. Support implementation of new healthcare programs and services. Perform other duties as assigned by the Clinic Directors.
