We’re Hiring!
We are currently looking to fill a full-time, permanent position for a TFW (Temporary Foreign Worker) People & Culture Generalist in our People & Culture Department at our Leamington facility.
What You'll Do:
- Guide and assist management and supervisors through the performance management process including progressive discipline documents. Provide support on identifying, work-related or performance challenges to improve employee relations and work performance. Assist with performance appraisal programs.
- Record incidents, conduct investigations, and document meetings thoroughly. Respond accordingly through communicating, training, and following up with supervisors and employees.
- Support managers with employee inquiries and complaints. Act as a liaison for employees and management in relation to leave of absence, grievance matters, coaching discussions, company policies/procedures, and all other employee-relations matters.
- Support the compliance of the Temporary Foreign Worker Program by studying existing and new legislation to ensure we are compliant. Assist with collecting, verifying, and administration all documents needed for Integrity audits in conjunction with your manager.
- Administer the TFW Program recruiting process including completing LMIA applications, work permits and visas, and liaise with recruitment agencies.
- Administer contract renewals in Canada, apply for work permits and visa extensions. Keep track of applications and paperwork received and request documentation related to their renewals. Monitor and track passport expires.
- Assist with coordinating travel arrangements for Guest workers, create calendar events, inform workers about travel itinerary and approve invoices to be paid. This includes the pre-arrival and post-arrival processes. Completing all necessary documentation and administration.
- Monitor TFW information using the Human Resource database, internal systems, and physical filing systems.
- Coordinate and conduct orientation training. Prepare paperwork, schedule, and facilitate smooth onboarding process, and coordinating with cross-functional departments to deliver an exceptional first-day experience.
- Conduct ongoing departmental training as required with the supervisors and TFWs.
- Review and assist with updating HR procedures, training material, and SOP’s accordingly. Suggest new procedures to continually advance efficiencies. Actively initiate, participate in, and support continuous improvement initiatives.
- Participate in a rotative schedule to receive workers at the arrival/departure points in Leamington or Wheatley, often after normal working hours.
- Participate in a rotative schedule to respond to all after-hour calls and prioritize matters that require attention. Resolve the identified issues and provide the appropriate follow-up. The HR Generalist may be required to return to the premises to address the matter, based on the severity.
- Assist with communication channels between the TFW Department and Guest Workers, update contact information and WhatsApp groups, and ensure that these tools are used efficiently.
- Assist with support with administrating payroll deductions. Ensure payroll deduction forms are completed if applicable.
- Assist with administering employee benefits program; support health and safety practices and recommend modifications if necessary. Provide support with insurance claims and balance bills at the end of each month.
- Assist with TFW Support Representative with Health Unit Housing Inspections, ensuring we comply with the government requirements.
- As needed submit work orders and keep track of the orders when finalized. Monitor work orders and their completion.
- Assist in reviewing weekly uniform invoices and documenting them on a spreadsheet to make sure it matches up correctly.
- Provide translation to different departments as needed.
- Assist with company events i.e. Annual Christmas Party, Employee Appreciation Event, etc.
- Always ensure adherence to the confidentiality policy including when conducting investigative reports, disciplinary proceedings, employee inquiries, and medical appointments.
- Must comply with all Health and Safety, Food Safety, Bio Security, and Nature Fresh Policies and Procedures.

What You Bring:
- 3+ years of HR experience preferred, ideally with exposure to Temporary Foreign Worker Programs in a dynamic, fast-paced, high-volume environment.
- Fluency in both Spanish and English is required.
- Proficiency with Microsoft applications is required.
- Excellent verbal & written communication skills, with the ability to prepare clear, accurate, and professional documentation related to employee relations matters, workplace investigations, and performance improvement plans.
- Ability to build buy-in and alignment through strong relationships and effective communication.
- Strong emotional intelligence, with the ability to communicate with empathy, professionalism, and discretion.
- Strong problem-solving skills, with the ability to analyze issues, resolve challenges, and respond effectively to unforeseen complications.
- Strong organizational skills, attention to detail, and the ability to prioritize and manage multiple tasks in a fast-paced environment.
- Ability to manage sensitive and confidential information with tact and discretion.
- Valid driver’s license, insurability and access to a personal vehicle are required.
- Availability to work Monday to Saturday; after-hours support will be required at times.
What To Expect:
- Monday – Friday, afterhours, holidays, and rotational on-call weekends will be required.
- Flexibility with work schedule is required especially for special events, flight arrivals/departures etc.
