Job Role: Reporting directly to President & CEO, the Executive Operations Manager (EOM) provides multi-faceted administrative support and assistance to the Executive Officers to ensure effective use of their time and productive interactions with external contacts, the Board and staff. Also, provides administrative support to the Board and the senior leadership team, as assigned. This role is a key administrative role for the organization and provides administrative, communication and organizational support. The role is a pro-active problem-solver, exceptional communicator and solid organizational support person. This job requires flexibility and composure in handling multiple responsibilities and the ability to maintain confidentiality. Executive Administrative and Organizational Support: Manage professional scheduling for the Executive Officers including email management, meeting coordination and preparations, agenda development, follow-up tasks, phone calls, messages and other logistics. Coordinates scheduling and calendar management for the Executive Officers including reminders for scheduled meetings. Providing secretariat support to committees, identifying agenda items, drafting agendas, calling for documents and confirming attendance for meetings. Listens carefully to discussion during Senior Management meetings and other committee meetings to capture key discussion points and action plans in writing to prepare written minutes for distribution to attendees after the meeting. Performs administrative and office support, such as mailings, letters, emails, typing, spreadsheet creation, faxing, and maintenance of filing system and contact database. This includes serving as the Departmental Records Keeper. Maintains professionalism and strict confidentiality with all materials and exercises discretion, good judgement and knowledge of the organization in interactions with external contacts, staff and Board. Conducts research and information gathering on behalf of the Executive Officers and prepares summaries and reports. Organizes team communications and plans events, both onsite meetings and off-site gatherings. Board and Board Committee: Prepares Board meeting packets which include preparation of the agenda, various reports and items, including financial reports. Packets are assembled electronically and distributed via Diligent. Attends Board meetings and provides support to the board members and Corporate Secretary, as required. Liasing with board members and ensuring that their expense claims and retainers are paid in a timely manner. Qualifications: The ideal candidate will have a post-secondary diploma or degree, preferably in Business Administration, Public Administration or Office Education/Administration. Candidates must have a minimum of (6-9) years’ experience in senior-level executive administrative support to CEOs, executive leadership teams, boards of directors, or senior government officials. An acceptable combination of education and experience may be considered.
