This role provides critical support to the Disability Management function and branch partners.
The incumbent will exercise sound judgment and meticulous attention to detail in establishing and updating both occupational and non-occupational disability claims. They will ensure timely and accurate communication of information to all relevant stakeholders. Given the potential for significant consequences—including regulatory fines, penalties, and impacts to employees—this position demands a high level of precision, confidentiality, privacy and compliance in all activities.
Responsibilities:
Absence Reporting & Analysis:
- Extract, analyze and action absence reports to identify case establishment requirements and updates.
- Assess employee absence history and timelines to determine disability eligibility.
- Monitor reports, investigate discrepancies, and implement corrective actions.
System Expertise & Support:
- Act as Subject Matter Expert and super user for the Disability Management system.
- Serve as escalation on Corporate Attendance and Disability-related inquiries.
- Provide on-the-job system training, guidance, and support.
Data & Reporting:
- Develop, prepare, and deliver statistical and analytical reports as required.
- Design and produce high-quality documents and reports with creative formatting.
Process Improvement & Documentation:
- Recommend and assist in implementing workflow and process enhancements.
- Document and maintain all job-related business processes for accuracy and compliance.
Administrative & Operational Support:
- Establish and maintain disability case files, update with incoming information, and manage notifications and reports to internal and external stakeholders.
- Administrative closure of files upon completion of case management activities
- Manage daily mail intake, scanning, and distribution.
- Monitor printers for quality control and coordinate maintenance.
- Maintain adequate office supplies and ensure a safe and comfortable work environment.
Communication & Stakeholder Management:
- Consistently demonstrate the ability to perform tasks under tight deadlines with multiple rapidly shifting and competing priorities.
- Maintain Disability Management communication, including Outlook inbox and voicemail.
- Consult with branches, insurers, and internal/external stakeholders as needed.
- Ensure employee communication is accurate and delivered within policy timelines.
Other Duties:
- Perform additional disability administrative functions as delegated by the Manager, Disability Management Programs & Administration.
Qualifications
- Minimum college diploma with 3+ years transferable experience.
- Excellent communications skills, both written and oral (English: Required, French: Strong Asset).
- Analytical skills with a strong diligence.
- Ability to maintain a prominent level of confidentiality always.
- Recognized ability to work under pressure, time restraints and yet maintain flexibility.
- Intermediate computer skills, including keyboarding, navigation, data entry and knowledge of Microsoft Office (Word and Excel).
- Experience working with Human Resources Information Systems a strong asset.
- Knowledge of aviation industry an asset.
- Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
Conditions of Employment:
Candidates must be eligible to work in the country of interest at the time any offer of employment is made and are responsible for obtaining any required work permits, visas, or other authorizations necessary for employment.
