We’re looking for a People & Culture Coordinator to play a key role in delivering an exceptional employee experience by coordinating and administering People & Culture programs, processes, and operations throughout the employee lifecycle. Reporting to the People & Culture Director, you will work closely with HR Business Partners, the Talent Acquisition team, Payroll, and leaders across the Firm to ensure seamless People & Culture operations, support continuous improvement, and help create an engaging and positive employee experience.

You will be Accountable for: Serve as the first point of contact for employee inquiries related to People & Culture programs, policies, and processes through the People & Culture ticketing system. Coordinate the employee lifecycle from onboarding through offboarding, ensuring a seamless employee experience. Coordinate onboarding, employee changes, promotions, transfers, leaves of absence, and offboarding, including exit interviews. Facilitate 30, 60 and 90 day employee check-ins and probationary reviews to support successful employee integration. Prepare employment documentation, including compensation letters, promotion letters, bonus letters, leave documentation, termination documentation, and other employee correspondence. Administer employee benefits and People & Culture programs in partnership with Payroll and external providers. Coordinate leave of absence administration while providing guidance and support to employees throughout the process. Coordinate the annual performance review and promotion process in collaboration with the People & Culture Advisor. Support employee recognition programs and service milestone celebrations. Ensure employee data changes are accurately communicated to Payroll in a timely manner. Maintain exceptional service standards while continuously improving People Operations processes. Standardize documentation, workflows, and operating procedures. Maintain the integrity, accuracy, and confidentiality of employee information within the HRIS. Support HRIS enhancements, workflow automation, system updates, and process improvements. Prepare monthly People & Culture dashboards, reports, and key performance indicators. Analyze workforce metrics, including headcount, turnover, retention, recruitment, and employee lifecycle data to support informed decision making. Monitor changes to Quebec and Ontario employment legislation and HR best practices, recommending updates to policies and programs to ensure compliance and operational excellence. Coordinate compliance activities, including Health & Safety, First Aid, mandatory training, employment documentation, and francization requirements where applicable. Support audits, governance initiatives, documentation standards, and compliance reporting. Participate in projects that enhance employee experience and operational effectiveness. Identify opportunities to streamline processes, automate workflows, and improve service delivery. Develop and maintain process documentation, templates, and standard operating procedures. Support the implementation of new technologies, policies, and People & Culture initiatives.

The Qualifications that count: College Diploma, Attestation of College Studies, Diploma of Vocational Studies, or University Certificate in Administration, Human Resources, or a related discipline. 3 to 5 years of experience in Human Resources coordination or administration. Experience supporting the full employee lifecycle. Experience working with an HRIS. Experience with Rippling is considered an asset. Experience administering employee benefits and HR documentation. Knowledge of Quebec and Ontario employment legislation and HR best practices. Experience in a professional services environment is considered an asset. Excellent verbal and written communication skills in both English and French (English is required to communicate with our Ottawa office and Ontario employees). Strong proficiency with Microsoft Office and AI tools and technology. Excellent organizational and planning skills with the ability to manage multiple priorities. Strong customer service orientation with exceptional attention to detail. High level of professionalism, discretion, and confidentiality. Strong collaboration, adaptability, communication, and problem solving skills. Demonstrated accountability and a commitment to continuous improvement.
