Job Summary
The Payroll Specialist is responsible for processing full-cycle payroll, calculating wages and deductions, maintaining payroll records, providing payroll information, and complying with federal and provincial laws, including tax law.
Responsibilities
Job Duties & Responsibilities
Payroll Administration
Process full-cycle payroll on a bi-weekly basis (currently using Dayforce and transitioning to UKG). Ensure accurate calculation of regular earnings, overtime, vacation pay, public holiday pay, bonuses, retroactive adjustments and other earnings Process payroll deductions including income tax, CPP, EI, benefit premiums, RRSP contributions, garnishments, and other deductions Process payroll transactions involving new hires, salary adjustments, promotions, transfers, leaves of absence, and terminations Reconcile payroll before each payroll run and investigate and resolve payroll discrepancies Maintain accurate payroll records and employee payroll information while ensuring strict confidentiality Respond to employee inquiries about pay, deductions, vacation accruals, taxable benefits
Payroll Compliance and Reporting
Ensure payroll practices comply with applicable federal and provincial laws Prepare and submit payroll remittances to government agencies and third-party vendors Prepare and reconcile year-end payroll activities, including T4s, T4As, Records of Employment (ROEs), and other statutory reporting Support internal and external payroll audits by providing accurate payroll information and documentation Prepare payroll reports and reconciliations for Human Resources and Finance
Payroll Systems
Assist with payroll-related testing, validation, and user acceptance activities during the implementation of the UKG payroll system Verify the accuracy of payroll data following system updates, enhancements, or payroll system changes Identify opportunities to improve payroll processes, accuracy, and efficiency
Benefits Administration
Administer payroll-related employee benefit and retirement savings plan deductions Process benefit enrollments, changes, and terminations as they relate to payroll Reconcile benefit invoices and ensure payroll deductions are accurate Process payroll changes arising from employee disability leaves and leaves of absence Perform other payroll-related duties, when requested
Job Qualifications
2-year college diploma in accounting, bookkeeping, or business administration or a related field. Payroll Compliance Practitioner (PCP) designation from the National Payroll Institute is an asset Minimum of three years of full-cycle Canadian payroll experience Experience processing payroll for approximately 100 employees or more is an asset Experience using computerized payroll systems; experience with Dayforce Payroll is an asset Experience participating in a payroll system implementation or conversion (such as to UKG) is considered an asset Able to maintain strict confidentiality Able to attend work on a regular basis Able to meet the physical and sensory demands of the position
