The Opportunity (Vacancy: Replacement)
Reporting directly to the Chief Human Resources Officer, this role is responsible for providing administrative support across the People Services Department. In addition, this position will provide direct support to the Chief Human Resources Officer by managing correspondence, calendar scheduling, providing phone coverage and coordinating meetings. This role provides assistance in all key areas of human resources by delivering a full range of services and initiatives to ensure efficient operations within the department. This position is uniquely situated to have access to confidential and/or sensitive materials. The successful candidate possesses the ability to anticipate departmental needs, balance competing priorities, and build trust with various departments with minimal supervision. They must lead with a high level of professionalism, and in a manner that reflects positively on the People Services department.
As the Administrative Coordinator, People Services, you will perform the following duties, including but not limited to:
- Provide comprehensive administrative support to the CHRO, including coordinating business schedule, correspondence management, minute taking and initiating further action where appropriate for confidential personnel matters.
- Create a variety of letters, internal memos, meeting agendas, and reports utilizing various word processing, spreadsheet, database, and presentation software.
- Provide efficient and streamlined administrative support to the Chief Human Resources Officer and People Services leadership team, to enable them to focus on strategic HR tasks.
- Drafts correspondence, presentations and reports as directed by the CHRO. (may include confidential information)
- Act as the first point of contact for internal HR queries, policy questions, and support the planning of training or engagement events. Coordinate training sessions and seminars and provide logistical support for HR initiatives.
- Provide first-line HR support to employees and managers, including the People Services email inbox.
- Records, manages, processes and monitors expenses and revenues in accordance with the approved budget for the Department.
- Coordinates and maintains a standard financial management system for the Department in accordance with the approved budget for all Operating and Capital Budgets.
- Perform additional duties and undertake special projects as assigned.
The Ideal Candidate
We are seeking an experienced professional with a post-secondary diploma in Human Resources Management, Business Administration, or closely related field. Our ideal candidate has a minimum of two (2) years related experience in all aspects of Human Resources. CHRP/CHRL designation an asset.
The ideal candidate will have working knowledge of all relevant legislation and regulations (i.e. Employment Standards, Labour Relations, Human Rights, Pay Equity, etc.). We are seeking an individual who excellent verbal and written communication skills with the ability to give, obtain and/or exchange routine information.
The successful candidate for Administrative Coordinator, People Services will be required to work a flexible schedule, including in the office, remotely and after hours (as required).
This position offers a salary range of $69,108.96 to $86,386.20 plus a competitive benefit package.
Satisfactory passing of a criminal record check, and proof of qualifications will be required of any successful candidate(s) for this position.
