Position Summary :
The People Operations Administrator provides foundational administrative support to the People Operations team, contributing to an efficient and seamless employee lifecycle experience. This role is responsible for coordinating recruitment and onboarding administrative processes, maintaining accurate employee records, and responding to general inquiries. The incumbent plays an important role in ensuring data integrity, compliance, and timely completion of HR activities while delivering a high level of customer service to internal and external stakeholders. This is an entry-level opportunity ideal for a highly organized, detail-oriented individual with an interest in developing a career in Human Resources.
Responsibilities:
- Collect, track, and file signed offer letters and internal transfer letters
- Follow up with candidates and employees regarding outstanding or overdue documentation
- Close requisitions in the Applicant Tracking System (ATS) and ensure records are current and accurate
- Utilize our reference check software to collect and review references for potential new hires
- Respond to general recruitment and people operations inquiries in a timely and professional manner
- Prepare, and distribute people operations-related letters
- File onboarding documentation and maintain complete and accurate employee records
- Process employee data changes, including address updates
- Scan, upload, and organize documentation in accordance with record-keeping guidelines
- Support onboarding processes and other employee lifecycle administrative activities
- Assist with audits and ensure documentation compliance and accuracy
- Perform other ad hoc human resources-related administrative duties as required
Position Requirements:
- High school diploma or equivalent
- Minimum of 1 year of relevant administrative experience
- Strong attention to detail with a high level of accuracy
- Excellent organizational and time management skills, with the ability to manage multiple priorities
- Strong interpersonal and communication skills with a customer-service orientation
- Ability to handle confidential and sensitive information with discretion and professionalism
- Proficiency in Microsoft Office applications (Word, Excel, Outlook)
- Demonstrated ability to think critically, identify discrepancies, and investigate and resolve issues as needed
- Ability to work both independently and collaboratively within a team environment
- Experience working in a fast-paced, high-volume environment
Preferred Requirements:
- Post-secondary education in Human Resources, Business Administration, or a related field
- Previous experience in a Human Resources capacity
- Familiarity with Applicant Tracking Systems (ATS) and/or Human Resources Information Systems (HRIS)
- Knowledge of HR processes, employment documentation, and record-keeping best practices
