Position Overview: The Human Resources Assistant reports directly to the Director of Administration and works closely with both the Director of Administration and other members of the Operations Team to support the firm’s human resources and administrative needs. The successful candidate is highly organized, detail-oriented, and skilled at managing multiple priorities and deadlines. They are committed to delivering exceptional client service and possess outstanding verbal and written communication skills, along with the ability to maintain professionalism and confidentiality in a fast-paced environment.
Key responsibilities include but are not limited to: Provides administrative and human resources support to the Director of Administration and Operations Team, ensuring the efficient execution of people-related and operational initiatives. Coordinates recruitment activities, including job postings, candidate screening, interview scheduling, reference checks, and preparation of offer letters and employment documentation. Facilitates employee onboarding, cross-boarding, status changes, and offboarding processes, ensuring a positive and seamless employee experience. Maintains accurate employee records, HRIS data, digital filing systems, and recruitment tracking information while ensuring confidentiality and data integrity. Prepares, distributes, and maintains HR-related correspondence, employment verifications, compensation letters, employee communications, and other administrative documentation. Serves as a primary point of contact for employee inquiries, providing timely and professional support regarding policies, procedures, benefits, and workplace resources. Coordinates employee training, performance review schedules, and other people-related programs and initiatives. Organizes meetings, training sessions, wellness initiatives, team-building activities, employee events, and other firm activities, including logistics, materials, technology, attendance tracking, and vendor coordination. Supports compliance with employment legislation and organizational policies. Assists with reporting, HR metrics, annual schedules, and process improvement initiatives to support strategic and operational objectives. Supports initiatives that promote a positive, inclusive, and collaborative workplace culture. Assists in planning and coordinating employee engagement activities, internal events, and recognition programs. Gathers and relays employee feedback or common themes to leadership to support continuous improvement of the employee experience. Assists in maintaining and promoting consistent application of firm values in day-to-day interactions and communications. Supports with additional administrative, human resources, and other duties as assigned.
Qualifications: 2+ years of experience in HR administration and a post-secondary diploma/degree in Human Resources, Business Administration, or a related field. Strong written and verbal communication skills, with the ability to communicate clearly and professionally. Intermediate computer skills, including proficiency in Microsoft Office Suite and strong typing skills. Excellent time management, multitasking, and prioritization abilities in a fast-paced environment. Highly organized, reliable, and able to work independently with minimal supervision. Strong problem-solving skills and sound judgment when managing competing priorities. Ability to work collaboratively within a team while also demonstrating initiative and independence. Demonstrated professionalism, discretion, and the ability to handle confidential and sensitive information appropriately. Experience in a professional services or law firm environment is considered an asset.
