What can I expect to do in this role?
- Perform general payroll administration duties to support assigned payroll departments.
- Overseethe preparation and processing of weekly hourly payroll for unionized and non-unionizeddepartments.
- Assistin coordinatingand prioritizingworkof payrollteamtoensure accuracy,completenessand timeliness ofpayroll submissions.
- Set up payrollcycles in ADPWorkforce Now (WFN)in accordancewiththe annual accounting schedule,ensuringallspecial payments and deductions are processed.
- Complete and review accuracy of weekly payrolltransactionsincluding new hires, terminations, leaves, employee information changes,earnings, deductions,adjustmentsand taxable benefits.
- Preparepayroll and general ledger account reconciliations,journal entries,transfers, ad hoc reports, monthly remittances and investigate discrepancies.
- Administer the OMERS pension planprogramincluding enrollments,contributions,reportingand compliance
- Maintain payroll records and ensure data integrity within ADP WFN, BusinessCentraland employeefiles.
- Serve as subject matter expert for ADP WFN and time and attendance system bymaintainingsystem configurations,identifydiscrepancies,provide troubleshootingsupport for systemissuesandliaise with serviceprovidertoresolveissues.
- Provideon-going guidanceand training to the payroll teamregardingpayroll processesand ensure payroll procedures and internal controls are consistently followed.
- Identifytraining needs and recommend development opportunitiesforthepayroll team and otherstakeholderson payroll processes.
- Develop and document payroll procedures and training materials to support the continuous improvement of payroll processesand controls.
- Respond toinquiries from government agencies,auditors,OMERSandexternal stakeholders.
- Review, interpret and implement payroll-related policies and collective agreement changes, ensuring payroll processes and system configurationsremaincompliant.
- Prepareandassistinyear-end payrollactivitiesincluding T4s, taxable benefits, OMERS119 reconciliation,pension adjustments,EHTandPIER audits.
- Maintainhigh levelsof accuracy, professional demeanor,appropriate levelsof confidentiality, excellent customer service, significantsupport services to others both within and outside of the department.
- Act as the first point of contact for hourly payroll issuesand inquiries
- Participate in projects related topeople,cultureand corporateservicesprograms.
- In absence of Payroll Manager, coordinate the daily payroll activities and functions to ensure smooth operations and provide back-up for payroll specialists as needed.
- Perform other duties as assigned.
How do I qualify?
- Severalyears’of progressive payrollexperience and completion of recognizedPCPpayroll certification and post-secondary education in a discipline pertinent to the job function isrequired.
- Experience specializing in payroll processing, payroll reconciliations, basic accounting principles, OMERS and benefits administration in a unionized environment.
- Ability to lead, train, and coordinate work of others.
- Experience using ADP Workforce Now, Enhanced Time andAttendanceandMicrosoft Dynamics365Business Centralis an asset.
- Advanced computerproficiencyin preparing reports, spreadsheets and correspondence using a variety of computer software packages including MS Office, word processing,Exceland Outlook.
- Excellent organizational skills with the ability to prioritize and meet strict deadlines with attention to detail.
- Strong analytical skills, problem solving, multitasking and critical thinking coupled with resourcefulness and initiative when managing multiple priorities with tight constraints and with minimal supervision.
- Proven customer services and interpersonal skills with the ability to effectively communicate both verbally and written.
- Ability to interpret and apply policies, guidelines,legislationand collective bargaining agreements with knowledge of employment-related legislation.
- Flexible toworkweekends and holidays.
