The Job! As a Human Resources Coordinator, you will coordinate the end-to-end hiring process, partnering with recruiters and hiring managers to ensure a smooth candidate experience. Manage onboarding administration by tracking required documentation and preparing new hire files for a seamless start. Provide day-to-day administrative support across a variety of HR functions, including employee documentation, leave administration, and general HR inquiries. Maintain accurate employee records and update HR databases, spreadsheets, and internal systems with personnel changes. Monitor candidate progress through the recruitment lifecycle using applicant tracking systems (ATS). Collaborate with Payroll, Finance, and IT to process new hires, employee updates, and offboarding activities. Assist with preparing HR reports, presentations, employee communications, and other departmental materials. Coordinate new employee orientation sessions and ensure all onboarding activities are completed on schedule. Organize and maintain both digital and physical employee records while ensuring confidentiality and data accuracy. Support learning and development initiatives by coordinating training registrations, attendance, and recordkeeping. Contribute to employee engagement programs and initiatives that promote a positive workplace culture. Ensure HR practices align with company policies, workplace standards, and compliance requirements. Handle confidential information with professionalism, sound judgment, and discretion. Provide additional administrative and HR support as business needs evolve.
What you bring to the job You are someone with experience supporting high-volume recruitment or fast-paced hiring environments. You also come with: Diploma, certificate, or degree in Human Resources or a related field. 1–2 years of experience in an HR support or HR administration environment. Progress toward or completion of a professional HR designation is considered an advantage. Familiarity with Applicant Tracking Systems (ATS) and HR information systems (HRIS). Strong proficiency with Microsoft Office, particularly Excel, Outlook, Word, and PowerPoint. Knowledge of employment legislation, HR best practices, and experience in a unionized environment is an asset. Excellent written and verbal communication skills with the ability to build positive working relationships. Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities. Able to handle sensitive and confidential information with discretion and professionalism. Comfortable adapting to changing priorities and working independently while collaborating effectively within a team. Customer-focused mindset with a commitment to delivering exceptional support to employees and internal stakeholders. High level of integrity, professionalism, and accountability in all aspects of work.
