About the role

In Office Requirement: 5 days per week in office. Occasional after hours.

Reports to: Talent Director, Employee Experience

Position Overview

The Workplace Experience & Operations Business Partner/Manager plays a pivotal role in shaping our workspace's ambiance, functionality, and community. This position demands a dynamic individual who bridges the gap between high-level cultural strategy, operational excellence, and facilities management, acting as the primary point of contact for all workplace needs to deliver the best employee experience.

You will act as the heartbeat and soundboard of the office—curating how people feel when they are at work, leading day-to-day workplace operations, and executing agency-wide events while maintaining oversight of safety, security, and vendor relationships to foster a creative and high-performing environment.

Key ResponsibilitiesCultural Ambassadorship & Community Engagement

Drive Workplace Culture: Embody and promote the company's values, fostering a positive, vibrant, and inclusive office environment through engagement initiatives, events, and communications. Internal Communications: Draft and distribute engaging internal newsletters, calendars, announcements, and updates. Master the art of the quick, witty update to keep the agency aligned on everything from social calendars to workplace policies. Be able to put together a strategic comms plan in the event of an emergency situation. Creative Programming: Develop and implement initiatives that promote workplace diversity, equity, and inclusion, collaborating with teams to curate themed events, workshops, and activities. Wellness & Learning Initiatives: Cultivate a culture of continuous learning and well-being by organizing lunch-and-learns, skill-building workshops, fitness challenges, and mental health awareness resources. EDI Lense: Partner with our EDI team and Employee Resource Groups to promote our EDI goals and values. Ie thinking about initiatives that we are supporting as an organization and booking vendors that align with those initiatives. Problem Solving: Resolve complex and/or delicate problems and identify appropriate responses and actions. Security & Emergency Response: Ensure a safe, compliant, and secure working environment by working with the Office Services & Talent teams to help manage health and safety protocols, security access, and emergency procedures, processes and communications.

Operational & Facility Management

People Management: Provide leadership, mentorship, and day-to-day management for the office services team, including the receptionist and office manager, to foster their professional growth and operational excellence. Facility & Vendor Management: Managing the physical workspace, managing relationships with landlords and external vendors for maintenance, repairs, and utilities to ensure high-quality standards are met. Onboarding & Offboarding Logistics: Partner with the Talent team to manage the logistics/equipment collection for departing employees.

Event Experience Management

End-to-End Event Execution: Brainstorm, plan, and execute agency-wide events—ranging from casual weekly happy hours and team-building sessions to major holiday parties and panels with key stakeholders. Event Consulting: Partner with agency stakeholders to help plan team events. Have a deep understanding of logistics required to execute the teams’ vision and be day-of support for the events to help ensure it will run smoothly. Budget & Logistics Ownership: Source vendors, coordinate catering, negotiate contracts, and manage event budgets effectively to deliver exceptional experiences within established financial parameters.

Technology & Process Innovation

Workplace Tech Super-User: Maintain and optimize office services platforms (e.g., room booking systems, digital signage/displays, and facility tracking apps). Process Automation: Liaise with other office services team member(s), as well as end users and other key stakeholders to identify gaps. Proactively research and implement new workplace technologies, apps, and AI tools to create efficiencies, and enhance the overall employee experience. Insights & Reporting: Act as the "ears and voice" of the office, gathering staff feedback to implement actionable improvements. Pull and analyze weekly office attendance and engagement reports for leadership. Financial Management: Manage the workplace operations budget, tracking expenses and identifying opportunities for cost optimization without compromising the employee experience.

Qualifications

Experience: 3–5 years of experience in workplace management, high-touch hospitality, corporate operations, or event planning. Leadership Skills: Proven ability to take ownership of projects, manage budgets effectively, and oversee office services team and diverse event stakeholders. (Employee resource groups, agency event committees, social committee, talent team, etc). Communication: Exceptional written and verbal communication skills with a knack for storytelling and delivering information with personality and an on-brand voice. Tech-Savvy: Highly proficient in office management software and communication tools, with a strong curiosity for leveraging AI and new platforms to optimize processes. Adaptability: A proactive, solution-oriented mindset capable of thriving in a fast-paced, dynamic creative environment. Strategic Project Management: Proven experience in cross-functional project management and financial oversight within a corporate or creative environment. Problem solving: Be able to navigate and solve complex, and sometimes urgent, challenges.

Transparency matters to us. For this role, you can expect a salary between [$75,000 – $95,000] annually, depending on experience.
