Permanent position, Category 9 - Hiring Range $81,106 to $87,344 Existing Vacancy: One position
The Human Resources Generalist will support all aspects of HR with a specific focus on providing advice and assistance to employees and managers on HR policies, procedures, and programs for the College as the first point of contact. Reporting to the Manager of HR, the incumbent will provide administrative and operational support for various HR functions and use judgment in resolving or escalating potential issues. The role contributes to advancing Equity, Diversity, Inclusion and Accessibility (EDIA) by supporting the application of inclusive and equitable practices across HR programs, policies and employee-related processes.
Responsibilities:
Talent Acquisition and Retention Support the full cycle recruitment process, including but not limited to composing job advertisements, posting vacant roles, resume screening, coordinating interviews and screening tests with applicable accommodations, background checks, offers, candidate negotiations, and onboarding. Apply an equity and inclusion lens to recruitment activities, including job postings, candidate screening, and interview coordination, to support fair and barrier-free hiring practices Maintain recruitment files for archiving physical and digital files Support the collection and tracking of recruitment data to help monitor equitable outcomes and identify opportunities to enhance diversity and inclusion Co-ordinate onboarding preparation activities for new staff including liaising with internal departments (IT, Finance and the Communications) to ensure new staff hires are set up with required equipment, systems and payroll details. Facilitate orientation sessions, distributing appropriate new hire forms, and assigning new hire training tasks Track key recruitment activities including job postings, applicant flow, interview outcomes, and time-to-fill metrics Assist with the co-ordination of employee engagement and recognition programs Assist HR team with talent acquisition and retention process improvement activities Conduct exit interviews for all employees that resign, providing a synopsis to the Human Resources Manager for reporting
Performance Management & Compensation Assist the HR Business Partner with preparing, launching, monitoring and completing reviews for the annual performance management cycle Prepare bonus memos and salary adjustment letters for distribution to employees Submit approved bonus and salary adjustment memos and letters to Finance/Payroll for processing Provide support to employees with relation to troubleshooting performance management software
HRIS and Software Update and maintain all Human Resources software systems with respect to attendance, changes in employment, training and professional development records Generate special ad hoc human resources reports as required Train staff on using HRIS & Attendance Systems Create and maintain up-to-date organizational charts reflecting reporting structures and staff changes to support workforce and strategic planning
General Support Act as a trusted HR advisor for employees and managers providing guidance and resolving issues effectively, and escalating complex issues as needed Assist with preparing and processing HR correspondence such as employment agreements, changes in employment, employment verification letters, and secondment agreements, etc Assist with the co-ordination of Employee Return to Work Plans and workplace accommodations and respond to general employee inquiries related to disability management program and policies Review and approve professional development requests for policy compliance and funding availability Prepare and distribute electronic staff notices such as staff changes and employment opportunities at the College Collaborate with HR team in identifying areas for process improvement to enhance HR functions and operations Provide co-ordination support on various HR projects and initiatives Support the HR team by conducting research and reviewing existing and changing HR legislation to help ensure Ontario College of Teachers is in compliance Provide administrative support with the development, modification and revision of HR policy Support the implementation and coordination of EDIA initiatives, including training, staff engagement activities, and organizational priorities Other duties as assigned by the Human Resources Manager
Qualifications, Skills, & Experience: Degree or post graduate certificate/diploma in Human Resources or a related field (or equivalent experience), CHRL or CHRP is an asset Minimum 3-5 years of experience in a similar Human Resources Generalist or HR Specialist role Demonstrated knowledge of equity, diversity inclusion and accessibility (EDIA) principles, including anti-racism, unconscious bias, and inclusive practices. Experience supporting or participating in EDIA initiatives, training, or engagement activities. Strong communication skills, exercising tact, interpersonal skills, discretion, and aptitude for problem solving to build rapport and effectively deal with staff queries across departments, external vendors and potential candidates Ability to handle workplace matters with professionalism, resolve conflicts, and support a positive work environment Resourceful mindset and strong attention to detail Excellent time management, organizational and client service skills with a demonstrated ability to work with internal and external parties at all levels in a professional manner Familiarity with project management principles Proficient with MS 365, experience with HRIS programs, and managing confidential employee data General knowledge of Human Resources Legislation and guidelines Adaptable, flexible and responsive to change Demonstrated commitment to equity, diversity, inclusion and accessibility through continuous improvement and modeling inclusive behaviours Ability to support equitable processes and foster inclusive workplace behaviour across diverse employee groups
