Summary:

The human resources (HR) administration team lead supports the daily operations of the team for employment and non-employment human resource services across the university. This role maintains workflow, aligns activities with service expectations, and guides the team in delivering consistent and efficient HR administrative support. The team lead contributes to ongoing process enhancement by reviewing procedures, identifying opportunities, and collaborating with stakeholders on effective solutions. This position supports team training, coaching, and knowledge development to maintain high-quality service delivery. This role also contributes to workload planning and performs processing tasks to support team operations.

Duties and Responsibilities:

  • Assists the manager with employee life-cycle activities such as recruitment, onboarding, coaching, performance feedback, development support, and escalation of disciplinary matters.
  • Supports the daily operations of the team through scheduling, workload planning, and functional leadership of HR administration activities, guiding day-to-day workflow, work prioritization, and coordination of team deliverables to meet operational objectives and partner experience goals.
  • Supports HR administration processes related to the employee lifecycle, including appointments, changes, leaves, benefits, pension eligibility, payroll inputs, and records management.
  • Applies advanced knowledge of collective agreements, employment legislation, university policy, and financial controls to guide accurate and compliant processing.
  • Serves as a subject matter expert in HR administrative systems and processes, supporting complex transactions, troubleshooting and issue resolution, while maintaining up-to-date knowledge of university policies, guidelines, processes, and leading practices.
  • Provides operational guidance, clear communication, and process expertise to campus partners on HR administrative requirements, policies, guidelines, systems, and procedures to support effective operational decision‑making.
  • Identifies and implements process improvements that enhance efficiency, documentation quality, partner experience, and increase adherence to relevant standards and practices, in collaboration with the team.
  • Participates in the resolution or rerouting of issues and requests in collaboration with stakeholders.
  • Reviews outputs and system data to identify risks and errors, takes corrective action, and verifies HR diagnostic reports to ensure accurate payroll processing.
  • Supports and responds to provincial, research, affiliate and CRA auditor requests related to Human Resource administration by providing accurate documentation and clear explanations in a timely and organized manner.
  • Performs HR administrative processing to support high volumes of requests and maintain familiarity with team functions.
  • Contributes to policy and procedure updates in partnership with the central office.
  • Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment.
  • Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion.

  • Undertaking related duties, as assigned, consistent with the nature of the position.

Qualifications:

  • A degree in human resources, business administration, or related field. A combination of education and experience may be considered.
  • Minimum of four years of related human resources experience.
  • Leadership experience is an asset.
  • Strong knowledge of HR administrative processes, procedures, leading practices, collective agreements and legislation.
  • Ability to influence outcomes and provide operational guidance.
  • Strong customer service and communication skills.
  • Ability to work effectively both independently and collaboratively in a team.
  • High attention to detail with accurate data entry capabilities.
  • Effective problem-solving and decision-making skills.
  • Strong organizational and multi-tasking skills.
  • Broad working knowledge of university processes is an asset.
  • Proficient computer skills, including Microsoft Office applications, SharePoint, finance and human resource information systems; familiarity with university-specific and case management systems is an asset.

Salary: The salary range, based on 1.0 FTE, is $69,035.00 - 107,868.00 per annum. The starting salary will be commensurate with education and experience.
