Bilingual HR Coordinator
About the role
LeverageTek is actively seeking a Bilingual HR Onboarding Coordinator for a 3-month contract opportunity with its Ottawa-based customer.
Work Location Ottawa, ON (Hybrid/On-site as required)
Key Tasks Serve as the primary point of contact for new hires from contract signing through onboarding, providing guidance and support throughout the process. Manage pre-boarding activities, including completion of onboarding workflows and accurate HRIS data entry. Coordinate with IT and Health & Safety teams to arrange equipment, PPE, system access, and email setup. Ensure all employment documentation and compliance requirements (e.g., TD1 forms, SIN validation, direct deposit) are completed accurately and on time. Facilitate weekly virtual and/or in-person new hire orientation sessions. Lead the Day 1 onboarding experience, including welcome communications, introductions, and orientation agendas. Partner with hiring managers to deliver a seamless and engaging onboarding experience. Coordinate mandatory training assignments and monitor completion of legislative, workplace policy, and health & safety training. Maintain onboarding checklists for managers and assigned buddies to ensure consistency across the organization. Develop, update, and continuously improve onboarding processes, workflows, and standard operating procedures (SOPs). Track probationary review milestones and coordinate reminders with managers. Monitor onboarding metrics and survey feedback to identify opportunities for process improvement. Coordinate Certificate of Authorization (C of A) engineering registrations where applicable, ensuring regulatory compliance. Gather feedback from new hires and managers to enhance the overall onboarding experience. Collaborate closely with HR Business Partners and Talent Acquisition to ensure alignment between recruitment and onboarding activities. Conduct structured 60-day check-ins with new employees to support engagement and successful integration. Coordinate quarterly new hire leadership meet-and-greet sessions in partnership with HRBPs and Executive Assistants.
Key Qualifications Minimum one (1) year of experience in HR coordination, onboarding, recruitment support, or a related HR function. Experience coordinating multiple onboarding activities while managing competing priorities and deadlines. Experience using HRIS platforms such as Workday, ADP, Oracle, Dayforce, or similar systems.
Qualifications Post-secondary education in Human Resources, Business Administration, or a related discipline. Working knowledge of the Ontario Employment Standards Act (ESA) and HR compliance requirements. Proficiency with Microsoft Office applications, particularly Outlook, Excel, and Word. Ability to work independently in a fast-paced, collaborative environment. Excellent verbal and written communication and interpersonal skills. Ability to build strong relationships with new hires, hiring managers, and cross-functional stakeholders. Experience supporting employee engagement and delivering a positive onboarding experience. Strong organizational skills with exceptional attention to detail. Support employees and managers across Canada in both official languages. Experience facilitating virtual and/or in-person onboarding sessions. Experience developing onboarding documentation, SOPs, and process improvements. Exposure to employee engagement initiatives or HR analytics and reporting.
Assets Knowledge of engineering Certificate of Authorization (C of A) registration processes.
Compensation Hourly Rate Negotiable
