Position: Administrative Assistant – Payroll

Location: School Board Office

Status: FTE 0.800 Part-time 12-month Appointment (7 hours/day Tuesday- Friday)

Commencement Date: August 4, 2026

Reporting to the Secretary-Treasurer, this position provides secondary payroll support at the School board Office. Due to the nature of this position, this position may not be considered with other part-time assignments. __

DUTIES AND RESPONSIBILITIES

Administrative Assistant – Payroll performs a range of complex, mission- critical functions to ensure employee compensation and benefits are administered accurately, consistently, and within strict timelines.

This role is responsible for the accurate accounting and processing of significant district-wide expenditures related to wages and benefits. The work requires a high level of attention to detail, sound judgment, and strong problem-solving skills.

Administrative Assistant – Payroll must maintain sustained concentration while analyzing and processing large volumes of data from multiple sources under non-negotiable deadlines. The position also involves identifying and resolving discrepancies, interpreting and explaining pay, benefits, deductions, and entitlements to employees, and responding to inquiries from both internal and external parties in a timely and professional manner.

The successful candidate must be a self-starter who can work with minimal supervision, both independently and as part of a collaborative team. They must demonstrate a strong understanding of how the payroll system integrates with the accounting system and be committed to continuous learning as a lifelong learner, staying current with evolving processes and best practices.

KNOWLEDGE, SKILLS AND ABILITIES The ideal candidate will have:

  • A diploma from a recognized post-secondary institution, in payroll, accounting, or business administration, plus training and experience with computerized payroll systems, word processing, and spreadsheet software at an advanced level.
  • Canadian Payroll Compliance Practitioner Certificate (consideration may be given to those willing to successfully complete the CPC Certificate within 18 months of start date)
  • Advanced level knowledge of applications such as MS365 and Teams
  • Ability to organize, prioritize and schedule diverse tasks to ensure the orderly, accurate completion of work in accordance with competing deadlines and requirements.
  • Ability to multi-task and process high volumes of information accurately within strict, inflexible time limitations, while maintaining comprehensive standards.
  • Ability to communicate proficiently in oral and written English utilizing the terminology of business, payroll, and benefits.
  • Ability to handle and maintain all information with a high degree of confidentiality.
  • Knowledge and abilities to assist in the modernization of District payroll systems and processes.

JOB DUTIES AND TASKS MAY INCLUDE BUT NOT LIMITED TO:

  • Payroll processing for the non-teaching, TTOC, casual and contractors.
  • Monthly remittances; source deductions, pension & dues.
  • Reconciling payroll accounts monthly
  • Invoicing for P.R. recoveries
  • Set up new and process termination of employees, R.O.E.'s
  • Update seniority lists
  • Process employee leave requests and absences
  • Issuing cheque requisitions from payroll related items
  • Tracking sick time and vacation time
  • Calculating vacation payouts when necessary
  • Ensuring receipt of necessary payroll forms from new employees
  • Balancing year end pension reports, WCB reports and Revenue Canada reports ensuring compliance with legal and regulatory requirements.

The salary range for the Administrative Assistant – Payroll position is $84,297 to $105,370 per year, pro-rated based on FTE.
