Human Resources Clerk

Permanent - Full-Time (35 hours weekly)

The Human Resources Clerk provides confidential clerical and administrative support for recruitment, staffing, onboarding and personnel file administration. The position supports the broader Human Resources teams workflow processes. As a first point of contact for the department, the position greets visitors and employees, screens inquiries, and provides direction or referral as appropriate.

RESPONSBILITIES Recruitment and Staffing Administration

Coordinate recruitment and staffing administration, including job postings, application intake, interview schedules, testing logistics, candidate correspondence and hiring documentation. Maintain accurate recruitment, staffing, onboarding and employee records, including data entry, tracking, filing and routine reporting. Monitor HR and recruitment inquiries, respond to routine questions, and escalate matters as required.

Clerical, Records and Administrative Support Provide clerical support to the broader Human Resources team, including correspondence, forms, routine reports, workflow follow-up, meeting support and document control. Maintain and audit confidential employee, attendance and labour relations records, ensuring accuracy, completeness, privacy and retention compliance. Enter, update and verify employee-related data in HR and attendance systems, and track administrative deadlines and documentation requirements.

Reception and Customer Service Support Serve as a first point of contact by greeting the public , visitors and employees, screening inquiries, and providing direction, referral or follow-up.

ESSENTIAL QUALIFICATIONS Education/Certification Minimum of a one-year community college diploma in Office Administration, Business Administration, Human Resources Administration or a related field.

Required KnowledgeWorking knowledge of recruitment, staffing, onboarding, employee records administration and confidentiality requirements. General knowledge of applicable employment legislation, Board policies and collective agreement administration.

ExperienceTwo years of recent related clerical or administrative experience, preferably in Human Resources, education or a unionized environment.

Technology SkillsProficiency with Microsoft 365 and demonstrated ability to use HR information systems, applicant tracking systems, databases and electronic records platforms.

Skills/Abilities Strong oral and written communication, customer service and interpersonal skills. Excellent organizational skills, attention to detail, accuracy and ability to manage competing priorities with minimal supervision. Demonstrated discretion, confidentiality, teamwork and reliability.
