Position Overview
The Payroll Advisor is responsible for the accurate and timely processing of payroll for hospital employees within a highly regulated, unionized and non-unionized environment.
The incumbent ensures compliance with multiple collective agreements, employment legislation, and organizational policies while providing expert guidance to managers and employees on payroll-related matters.
The incumbent is responsible of certain year-end activities such as the production of the T4s and the MDC report.
Key Responsibilities:
- Payroll Processing:
Process bi-weekly payroll for a diverse workforce, including salaried and hourly employees across multiple unions. Validate timecards and pay inputs (e.g., premiums, overtime, shift differentials, leaves). Ensure accuracy of payroll data in accordance with collective agreements and hospital policies.
- Collective Agreement Interpretation
Interpret and apply multiple collective agreements related to pay rules, premiums, vacation, statutory holidays, and leaves. Ensure compliance with union provisions and escalate complex issues as required.
- Compliance & Controls
Ensure adherence to Employment Standards Act (ESA), tax regulations (CRA), and hospital policies. Maintain confidentiality and data integrity of payroll records. Support internal and external audits.
- Employee & Manager Support
Respond to payroll inquiries from employees and managers in a timely and professional manner. Provide guidance on pay calculations, entitlements, and system use (e.g., timekeeping systems such as UKG, WFM).
- Reporting & Reconciliation
Perform payroll reconciliations and identify discrepancies. Prepare reports (e.g., earnings, deductions, accruals). Support year-end activities (T4s, reconciliation of accounts).
- Continuous Improvement
Contribute to process improvement initiatives to enhance payroll accuracy and efficiency.
Participate in system updates, testing, and implementation of new processes etc.

What we are looking for
- College diploma or university degree in Payroll, Accounting, Human Resources, or related field
- Payroll Compliance Practitioner Certification (or in progress)
- Member of the National Payroll Institute
- Minimum of 3–5 years of payroll experience, preferably in a unionized healthcare environment
- Demonstrated experience interpreting multiple collective agreements
- Strong knowledge of:
o Employment Standards Act and payroll legislation
o Payroll systems (e.g., UKG/WFM or equivalent)
- Proficiency in Microsoft Excel and payroll reporting tools
- Bilingualism (French/English) is a requirement
