Job Title: Senior Payroll Administrator Location: Etobicoke Reports To: Senior Accountant Employment Type: Full-Time
Position Summary The Payroll Administrator is responsible for the end-to-end administration of payroll for approximately 450+ employees and subcontractors across multiple projects. The successful candidate will ensure accurate payroll processing, maintain payroll records, administer employee deductions and remittances, and manage all Ontario and federal payroll-related regulatory filings.
Working closely with Human Resources, Operations, Project Management, Finance, and external agencies, the Payroll Administrator will ensure payroll processes are efficient, compliant, and aligned with company policies.
Payroll Administration Process weekly and bi-weekly payroll for salaried, hourly, union and non-union employees. Review and validate timesheets, job costing allocations, overtime, shift premiums, allowances and statutory holiday pay. Ensure payroll is processed accurately and within established deadlines. Process new hires, terminations, layoffs, recalls and employee status changes. Maintain payroll records in accordance with company policies and legislative requirements. Prepare Records of Employment (ROEs). Process vacation pay, bonuses, retroactive adjustments and other special payments. Respond to employee payroll inquiries professionally and confidentially.
Regulatory Compliance Prepare and remit payroll source deductions including: Canada Pension Plan (CPP) Employment Insurance (EI) Federal and Provincial Income Tax Prepare and file: T4s and T4 Summaries T2200 forms (when required) WSIB premium reporting and reconciliations Employer Health Tax (EHT) Ontario Ministry of Labour reporting (where applicable) Garnishments, Family Responsibility Office (FRO) deductions and court-ordered remittances
Ensure compliance with: Employment Standards Act (Ontario) Income Tax Act Canada Labour Code (where applicable) Workplace Safety and Insurance Act Applicable collective agreements
Construction Payroll Administration Administer union payroll in accordance with collective agreements. Calculate and remit union dues and benefit contributions. Process apprentice ratios and trade classifications where applicable. Coordinate payroll requirements across multiple construction projects. Ensure labour hours are accurately allocated for project costing and reporting.
Reporting & Reconciliations Reconcile payroll accounts and general ledger accounts. Prepare monthly payroll reports for Finance. Support year-end audit requests. Assist with annual budgeting by providing payroll data and analysis. Maintain payroll records for audit and regulatory purposes.
Process Improvement Identify opportunities to improve payroll efficiency and internal controls. Maintain payroll procedures and documentation. Support payroll system upgrades and testing. Ensure payroll data integrity and confidentiality.
Qualifications Payroll Compliance Professional (PCP) designation an asset. Certified Payroll Manager (CPM) designation considered an asset. Minimum 3+ years of payroll experience. Experience processing payroll for 200+ employees and review of 250+ employees Construction industry payroll experience strongly preferred. Experience administering union payroll is considered a significant asset. Thorough knowledge of Ontario payroll legislation and CRA requirements. Strong understanding of WSIB, EHT and statutory remittance requirements. Experience with accounting and construction software (e.g Quickbooks, Jonas, etc.) Experience with payroll software (e.g., Ceridian Dayforce, ADP Workforce Now, UKG, Vista by Viewpoint, or similar ERP/payroll systems). Advanced Microsoft Excel skills. Excellent organizational and time management skills. High attention to detail and accuracy. Ability to handle confidential information with professionalism and discretion.
