About Us Talent Harbour Group is one of Western Canada's fastest-growing boutique talent management firms. We are seeking a Customer Services Representative to join our team and play a key role in building strong client relationships while ensuring seamless operations and exceptional service.
About the Role This position blends account management, customer service, and administrative support. It's ideal for someone who is customer-centric at heart, someone who enjoys getting to know clients, understanding their needs, and building long-term relationships, while also keeping the day-to-day operations running smoothly. You will be a key relationship point of contact for our clients, proactively checking in, spotting opportunities to deepen engagement, and making sure clients feel heard and well taken care of. You will also support scheduling, manage client records, and provide administrative support to business leaders.
Key Responsibilities Client Relationship Management: Serve as a trusted point of contact for assigned clients, building genuine relationships and understanding their evolving needs. Client Feedback & Insights: Continuously monitor and analyze client/customer feedback to identify areas for improvement and provide recommendations to management. Retention Strategy: Collaborate with team members to develop and implement client/customer retention strategies. Growth Opportunities: Look for opportunities to expand or deepen client relationships, and flag potential growth opportunities to the team. Client Communication: Handle client inquiries via phone and email, ensuring timely, professional, and personable responses. Problem-Solving & Client Service: Address client concerns, escalate issues when necessary, and ensure a consistently high-quality client experience. Scheduling & Coordination: Manage calendars, schedule meetings, and coordinate appointments for consultants and leadership. Administrative Support: Assist business leaders with tasks such as organizing documents, preparing reports, and handling office operations. Office Administration: Order office supplies, coordinate office maintenance, and ensure a well-organized workspace. CRM & Data Management: Maintain and update client records in the CRM system, keeping relationship history current and accurate. Billing & Invoicing: Assist with accounts payable/receivable (AP/AR) invoicing and related administrative tasks. Cross-Team Collaboration: Work closely with recruiters, consultants, account managers, and leadership to support smooth business operations and a unified client experience. Other Duties: Support business needs as they arise.
What We're Looking For Minimum 3 years of experience in account management, customer service, client relations, or business support. A genuine relationship-builder; someone who enjoys getting to know clients and is motivated by keeping them happy and engaged. Strong communication skills (written and verbal) and the ability to handle client interactions with warmth and professionalism. Highly detail-oriented with excellent organizational and multitasking abilities. Ability to thrive in a fast-paced environment and manage multiple priorities efficiently. Proactive, problem-solving mindset with a can-do attitude. Strong computer skills, including proficiency in MS Office. Experience working with CRM systems is an asset. Ability to maintain confidentiality and handle sensitive information.
