Role Reporting to the Director of Finance, the Payroll and Accounting Technician will be a key contributor to the accounting department with the objective of delivering a high level of accuracy, integrity, and timeliness reporting with a focus on supporting the payroll and other accounting processes. The individual will work collaboratively with both the accounting team and other departments to achieve corporate objectives, deadlines and enforce corporate procedures and policies.
Primary Responsibilities (Payroll) Administer payroll and benefits for multiple legal entities across Canada, the United States, France, and Mauritius, ensuring accurate and timely payroll processing; Process bi-monthly and monthly payroll in accordance with local legislation, employment standards, collective agreements, and company policies; Maintain employee payroll records, including earnings, deductions, taxable benefits, leave balances, garnishments, and statutory deductions across multiple payroll systems; Process payroll adjustments, including bonuses, commissions, salary changes, retroactive pay, car allowances, expense reimbursements, and other compensation-related transactions; Validate and audit payroll data, ensuring the accuracy of compensation changes, tax withholdings, benefit deductions, retirement plans, employee status changes, vacation accruals, and final pay calculations; Prepare and post payroll journal entries, reconcile payroll accounts, and support month-end and year-end financial close activities; Manage payroll compliance across Canada, the United States, France, and Mauritius by ensuring adherence to all applicable federal, provincial/state, and local payroll legislation, tax regulations, employment standards, social security requirements, and reporting obligations; Prepare and submit all required year-end payroll reporting, including T4s, RL-1s, W-2s, Records of Employment (ROEs), WSIB, EHT, CNESST, pension reporting, and other statutory filings as required by each country; Coordinate with external payroll providers, government agencies, and auditors to resolve payroll issues, compliance matters, audits, and regulatory inquiries; Respond to employee payroll and benefits inquiries, investigate discrepancies, and ensure timely resolution of payroll-related issues; Maintain and continuously improve payroll policies, procedures, internal controls, and documentation to ensure compliance, efficiency, and data integrity; Identify opportunities to automate and streamline payroll processes, reporting, and reconciliations to improve operational efficiency; Support payroll-related audits, benefit renewals, and special projects, providing analysis and documentation as required; Perform other related duties and special projects as assigned.
Primary Responsibilities (Accounting) Coordinate and administer government tax credit and grant programs, including preparing applications, supporting documentation, reimbursement claims, and responding to government requests; Manage accounts payable and accounts receivable processes across multiple entities in multiple countries; Review, validate, and process vendor invoices, ensuring accuracy and compliance with company policies and accounting standards; Monitor customer receivables, follow up on outstanding balances, and support collections activities; Perform bank, credit card, and accounts reconciliations, investigating and resolving discrepancies on a timely basis; Provide accounting support to international subsidiaries, ensuring consistency in accounting practices; Prepare and remit federal, provincial taxes, ensuring compliance with applicable filing deadlines and maintaining correspondence with tax authorities; Support month-end and year-end close activities, including journal entries, reconciliations, accruals, prepaid expenses and controls; Prepare financial analyses, management reports, and ad hoc reporting; Prepare audit schedules and supporting documentation and acts as a point of contact with the external auditors during annual audits and other financial reviews; Identify opportunities to improve processes through automation, standardization, and enhanced reporting tools to increase operational efficiency; Participate in finance transformation initiatives, system implementations, and other cross-functional projects; Develop, maintain, and continuously improve accounting procedures, process documentation, and internal controls; Perform other related duties and special projects as assigned.
Qualifications and Requirements Bachelor’s degree or completion of a diploma program in Accounting, Business Administration, Human Resources or equivalent required; Minimum of 5 years of relevant experience in accounting and/or payroll accounting (a combination of relevant education and experience may be considered) Member of the National Payroll Institute (formerly the Canadian Payroll Association) is considered a strong asset; Solid understanding of accounting principles, payroll legislation, and applicable employment standards; Experience processing payroll using various payroll systems; experience with Nethris is a strong asset; Experience working with ERP systems; NetSuite experience is a strong asset; Proficient in Microsoft Office Suite, with advanced Excel skills; Proficiency in French and English (spoken and written).
