LOCATION: Pointe-Claire, QC (Montreal)

START DATE: September 1, 2026

SCHEDULE

This position is part-time and primarily based at Mint Green Group's Head Office.

Regular Schedule:

Monday: 8:00 AM – 2:30 PM Wednesday: 8:00 AM – 2:30 PM Thursday: 8:00 AM – 2:30 PM

Additional hours, including occasional work on Tuesdays or Fridays (either in-office or remotely where appropriate), may be requested based on business needs and employee availability.

Position Summary

The Office Administrator & Receptionist plays a key role in creating a welcoming, organized, and efficient workplace. By supporting employees, visitors, executives, and day-to-day office operations, this position helps ensure Mint Green Group continues to provide an exceptional experience for everyone who walks through our doors.

This position serves as the face of our Head Office while providing administrative and operational support across the organization. The successful candidate will keep our office running smoothly by managing reception, coordinating office services, supporting company events, assisting the Executive Team, and ensuring our workplace remains organized, welcoming, and efficient.

This role is ideal for someone who enjoys variety, takes initiative, thrives in a fast-paced environment, and genuinely enjoys helping others.

Essential Functions

Reception & Front Desk

Welcome employees, visitors, customers, and vendors in a professional and friendly manner. Answer, screen, and direct incoming telephone calls. Respond to general inquiries or direct requests to the appropriate department. Receive, organize, and distribute incoming mail, courier, and food deliveries. Prepare outgoing mail and shipments as required.

Office Administration

Maintain clean, organized, and professional common office areas. Ensure meeting rooms, kitchens, and shared spaces remain stocked and presentable. Purchase and replenish office supplies, kitchen supplies, snacks, beverages, and other workplace necessities. Monitor office equipment, amenities, and services, including coffee machines, vending machines, water coolers, printers, and other facilities, and coordinate repairs or service when required. Assist with office moves, workspace changes, furniture purchases, and office improvements. Coordinate with vendors, contractors, and service providers as needed.

Administrative Support

Provide administrative assistance to Human Resources, Administration, and members of the Executive Team. Assist with filing, document preparation, data entry, and other administrative tasks. Support the Founder with executive administrative assistance as required. Coordinate travel arrangements and itineraries when needed. Perform a variety of confidential administrative duties while exercising professionalism and discretion.

Employee Experience & Events

Coordinate food orders and room set-up for meetings, onboarding lunches, and company events. Assist with planning and executing employee events and celebrations. Help create a welcoming and positive workplace environment for employees and guests.

Office Operations

Administer the company's mobile phone program, including: New employee phone set-up Offboarding changes Plan modifications Device coordination Coordinate purchases and deliveries for both the Head Office and Distribution Centres as required. Support operational projects and special assignments across departments. Assist with ad hoc administrative requests as business needs evolve.

Other

Pick up supplies or coordinate small purchases as required. Provide executive or administrative support to the Senior Leadership Team as needed. Perform other related duties as assigned.

Skills & Experience

Fluently bilingual (English and French), both written and spoken. Previous experience in reception, office administration, executive assistance, customer service, or a similar administrative role. Exceptional organizational and time management skills. Strong interpersonal and communication skills. Professional, welcoming, and customer-service oriented. Ability to manage multiple priorities in a fast-paced environment. High attention to detail and strong follow-through. Comfortable working independently while collaborating with multiple departments. Strong proficiency with Microsoft Office (Outlook, Word, Excel, Teams). Ability to handle confidential information with discretion.
