Job purpose The purpose of this position is to support the effective functioning, safety, and maintenance of all IDM Youth Services facilities through a combination of hands-on maintenance work and higher-level coordination and human resources responsibilities.

This role acts as the designated lead for facilities operations, including planning, prioritization, contractor coordination, systems oversight, and administrative functions. This position is responsible for guiding workflow, assigning and prioritizing work, providing operational direction, performing human resources functions for employees in their department, and ensuring facilities standards are consistently met across all worksites. Duties and responsibilities Facilities Operations and Maintenance Performs skilled maintenance and repair work (carpentry, electrical, plumbing, painting, mechanical, general repairs) across all agency sites. Performs grounds maintenance, waste disposal, and seasonal site care as needed. Establishes and participates in preventative maintenance schedules for all sites, equipment, and assets. Completes site inspections and identifies maintenance risks, deficiencies, and improvement opportunities. Ensures proper storage, maintenance, and inventory of tools and materials. Assists in planning supply needs and making purchasing recommendations. Transports equipment and supplies, arranges furniture, and supports worksite setup and closure as needed. Performs other related duties as required.

Facilities Planning and Asset Management Acts as the primary coordinator for facilities requests, ensuring work is triaged, prioritized, and completed in a timely manner (e.g., via UpKeep or similar system). Monitors and maintains facilities tracking systems, including maintenance logs, service requests, and agency asset inventories (e.g., vehicles, tools, equipment). Develops short-term work plans to manage competing maintenance priorities across multiple sites. Provides recommendations to the Operations Manager regarding repair priorities, capital replacements, and system improvements. Supports development and ongoing improvement of preventative maintenance systems and workflows. Contractor and Vendor Coordination Acts as a key point of contact for contractors, trades, and service providers, coordinating access, scheduling, and required work. Obtains quotes and prepares cost estimates; coordinates and reviews contractor/vendor work to ensure quality, completion, and performance standards are met, escalating concerns to the Operations Manager as required. Supports landlord coordination for repairs and maintenance where applicable. Facilities Team Oversight and Support Performs human resources functions for Building and Maintenance worker positions such as participating in staff selection, setting objectives, prioritizing work, ensuring proper training, participating in annual performance reviews, encouraging professional development, and resolution of employee concerns. Acts as a resource and point of contact for employees regarding facilities-related questions. Supports onboarding and knowledge-sharing for new facilities employees as requested.

Health and Safety Support Ensures all buildings, grounds, and equipment are maintained in safe working order, prioritizing health and safety concerns. Ensures facilities work and conditions align with WorkSafe BC standards, fire codes, and internal policies. Supports implementation of safe work practices, WHMIS procedures, and hazard controls. Participates in health and safety initiatives and may contribute to inspections or audits. Identifies and escalates safety risks and ensures timely corrective action. Member of the agency Joint Occupational Health and Safety Committee.

Administrative Management Contributes to the development and review of policies and procedures related to agency maintenance standards. Maintains accurate records including maintenance logs, safety checks, contractor work, and incident reports. Maintains cost control in accordance with established budgets and participates in budget process. Manages facilities-related communications (e.g., email, service requests, scheduling coordination). Qualifications Minimum requirements: All applicants must have a minimum of 3 years’ experience in building maintenance or related vocational or technical training (e.g., carpentry, electrical), or equivalent combination of education and experience. All applicants must have leadership experience. All applicants must have experience coordinating work, projects, or service requests. This position requires a strong working knowledge of occupational health and safety, WHMIS and practices therein. This position requires a valid class 5 driver’s license, clean driver’s abstract and a satisfactory criminal record review through the Ministry of Justice Qualifications include, but are not limited to: Strong working knowledge of: Building systems and maintenance practices WorkSafe BC standards, WHMIS, and general health & safety requirements Preventative maintenance planning Ability to: Prioritize and manage multiple work requests across sites Coordinate contractors and evaluate work quality Analyze problems and recommend practical solutions Work independently with minimal supervision Communicate effectively with employees, contractors, and leadership Proficiency with: Maintenance tracking systems (e.g., UpKeep or similar). Microsoft Outlook, Excel, and basic digital tools. Working conditions This position requires the employee to work a full-time schedule. Work occurs across multiple agency locations; regular travel required. Combination of field-based work and administrative coordination. May require occasional after-hours response for urgent maintenance issues. Tools, vehicle, and equipment provided. Physical requirements Ability to stand, walk, bend, and perform manual labour for extended periods. Ability to lift up to 50 pounds. Ability to access confined spaces (e.g., attics, crawl spaces).
