About the Opportunity

Elby Professional Recruitment is seeking an organized, motivated, and detail-oriented individual to join our Kitchener office in an entry-level Sales Administration position.

This is a transitional role designed for someone interested in building a long-term career in the recruitment and staffing industry. During roughly the first six months, the successful candidate will support the sales and business development side of the company while learning our business, industry, clients, systems, and processes.

As the individual develops their knowledge and demonstrates strong performance, the role is expected to transition into a Junior Recruiter position for the right person. This is an excellent opportunity to gain hands-on experience across both the sales and recruitment sides of the staffing industry while developing the skills needed to grow within the organization.

The position will begin as fully onsite and transition to a hybrid work arrangement once the successful candidate is trained and able to work independently.

Job Responsibilities: Sales Administration Coordinator

During the initial phase of the role, responsibilities will include: Supporting client outreach and lead-generation activities using tools/programs such as Outlook, LinkedIn, and RocketReach. Researching organizations that are actively hiring and identifying relevant decision-makers and prospective client contacts. Creating Ad Call reports and capturing relevant company, hiring, and contact information. Preparing and sending personalized emails and LinkedIn outreach messages on behalf of Managing Directors and AVPs. Maintaining accurate and up-to-date contact and company information within the CRM system. Removing outdated, incomplete, or duplicate records to support database integrity. Providing prospect and market insights to help guide the sales team’s outreach strategy. Managing CRM automations and ensuring outreach sequences and workflows remain accurate and functional. Supporting business development initiatives, administrative activities, and special projects as needed.

Job Responsibilities: Transition to Junior Recruiter

After approximately six months of training and development, the successful candidate may transition into a Junior Recruiter position based on their performance, demonstrated capabilities, interest, and the needs of the business.

As the position transitions, responsibilities may begin to include: Learning how to identify and source qualified candidates for open positions. Conducting initial candidate outreach and screening conversations. Building and maintaining relationships with active and passive candidates. Supporting recruiters with candidate searches, interview coordination, and follow-ups. Developing an understanding of client requirements, job descriptions, and local hiring markets. Maintaining accurate candidate information and activity records in Bullhorn. Assisting with job postings, candidate presentations, reference checks, and recruitment administration. Gradually managing recruitment assignments with the support of senior recruiters and management.

Qualifications

Post-secondary education in business, communications, human resources, sales, marketing, or a related field is preferred. Recent graduates beginning their careers are encouraged to apply. Previous professional office, customer service, sales, administrative, or recruitment experience is an asset but not required. Strong interest in recruitment, sales, business development, or professional services. Excellent written and verbal communication skills. Strong research skills and confidence using online platforms to locate relevant information. Comfortable learning digital tools, databases, and CRM platforms. Experience with Bullhorn or another CRM or applicant tracking system is an asset. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Ability to work fully onsite at our Kitchener office during the training period, transitioning to 3 days in office per week moving forward.

Thorough, ensuring all steps are completed correctly, and nothing is overlooked.

Additional Information

This role will initially be fully onsite at our Kitchener office and will transition to a hybrid arrangement following successful training. The office is not easily accessible by public transit.
